Coordinators,

ONLY use this process if a Resident is leaving/resigning outside of the normal cycle. You will need to follow these instructions when you notify the HR department of an upcoming or immediate termination/resignation of a Resident. This will guide you through the new termination/resignation process of an Resident that is leaving/resigning outside of the normal cycle. If there are any questions/enhancements to the process, submit a ticket to support.wmed.edu. Thank you!

1. When you receive a resignation/notice of intent to resign/retire, the dates and letter (if applicable) need to be submitted to the HR/Resident affairs department as soon as practical

2. If you are the program coordinator you will need to kick off the action to start the resignation/termination process

3. First, log in to employee self service
      a. The “Employee Self-Service” is located on the WMed portal, click on “Applications”
      b. Under “Human Resources” on the bottom left is the link to “Employee Self Service”

4. To kick of an employee action, you will first need to go under “My Employees” and click on “Employee Actions”. Scroll down until you locate the action named “Terminate Staff/Faculty/Resident” and select it.

5. This will take you to a screen where you can input the residents name and then select the date in which the resignation/termination should be effective and then select “Continue request

6. On the next screen Coordinators are only required to put in the date “Terminated”. This is just the effective date of separation for the resident.

7. Once done, click submit in the top right hand corner of the screen to finish the process
